What information do we collect and how do we use it?
At times we may request that you voluntarily supply us with personal information. Generally this information is requested when you apply to become a member, to administer your membership and if you need assistance from us. In addition, we may gather and use information about you to improve the content and function of our websites, and we may monitor customer traffic patterns and website usage to help us improve the design and layout of our websites and to provide content that is of interest to you. By using and visiting our website, using our services and/or becoming a member you agree to our use of your personal information in this way.

In applying for membership and by continuing as a member you agree that:
if you are located in the United Kingdom or Ireland:
(i) we may hold and process your personal data including sensitive personal data (as defined in the United Kingdom's Data Protection Act 1998 (the Act)) which you provide to us or which we fairly obtain from another source for the purposes of processing your membership renewal, the administration and provision of membership services, providing you with the benefits of membership (including, but not limited to, advice, assistance and indemnity), underwriting, risk assessment, marketing, education, research and audit during your membership and for a reasonable period after your membership terminates or an application for membership renewal is rejected by us or withdrawn by you.

(ii) we may share such data with third parties who may also hold and process the data for the same purposes.
Under the Act you have the right to ask us for a copy of any of your personal data which we hold, for which we make a nominal charge.

You also agree that:

(i) we may seek information relevant to any purpose for which you have agreed we may hold personal data from other professional defence organisations, insurance companies, employers or other third parties regarding your professional practice and career history and that they may release to us such information.

(ii) if you are located in Ireland, your data may be transferred to, held and processed elsewhere within the European Economic Area.

(iii) if you provide us with an email address or telephone number it may be used by us and third parties to contact you for any of the purposes for which you have agreed to allow us or them to hold or process your personal data.

if you are located in New Zealand:

(i) we may hold and process your personal information (as defined in the New Zealand Privacy Act 1993 (the NZ Act)) or personal data including sensitive personal data (as defined in the United Kingdom's Data Protection Act 1988 (the UK Act)) which you provide to us or which we fairly obtain from another source for the purposes of processing any application for membership, the administration and provision of membership services, providing you with the benefits of membership (including, but not limited to, advice, assistance and indemnity), underwriting, risk assessment, marketing, education, research and audit during your membership and for a reasonable period after your membership terminates or an application for membership is rejected by us or withdrawn by you.

(ii) we may share such personal information or data with MPS' related companies (Related Companies) and third parties who may also hold and process it for the same.
Under the NZ Act and the UK Act you have the right to ask us for a copy of any of your personal information or personal data respectively which we hold.

You also agree that:

(i) we may seek personal information or data relevant to any purpose for which you have agreed we may hold personal information or data from other professional defence organisations, insurance companies, employers or other third parties regarding your professional practice and career history and that they may release to us such information

(ii) your personal information or data may be transferred to, held and processed within the European Economic Area

(iii) if you provide us with an email address or telephone number it may be used by us, our Related Companies and third parties to contact you for any of the purposes for which you have agreed to allow us or them to hold or process your personal information or data.
if you are located in South Africa:

(i) we may hold and process your personal information, which you provide to us or which we fairly obtain from another source for the purposes of processing any application for membership, the administration and provision of membership services, providing you with benefits of membership (including, but not limited to, advice, assistance and indemnity), underwriting, risk assessment, marketing, education, research and audit during your membership and for a reasonable period after your membership terminates or an application for membership is rejected by us or withdrawn by you.

(ii) we may share such information with third parties who may also hold and process the personal information for the same purposes.
You also agree that:
(i) we may seek information relevant to any purpose for which you have agreed we may hold personal information from other professional defence organisations, insurance companies, employers or other third parties regarding your professional practice and career history and that they may release such information

(ii) your personal information may be transferred to, held and processed within European Economic Area (EEA)

(iii) if you provide us with an email address or telephone number it may be used by us and third parties to contact you for any of the purposes for which you have agreed to allow us or them to hold or process or process your personal information.

if you are located in Singapore:

(i) we may hold and process your personal data including sensitive personal data (as defined in the United Kingdom's Data Protection Act 1998 (the Act)) which you provide to us or which we fairly obtain from another source for the purposes of processing your membership renewal, the administration and provision of membership services, providing you with the benefits of membership (including, but not limited to, advice, assistance and indemnity), underwriting, risk assessment, marketing, education, research and audit during your membership and for a reasonable period after your membership terminates or an application for membership renewal is rejected by us or withdrawn by you.

(ii) we may share such data with third parties who may also hold and process the data for the same purposes.
Under the Act you have the right to ask us for a copy of any of your personal data which we hold, for which we make a nominal charge.

You also agree that:

(i) we may seek information relevant to any purpose for which you have agreed we may hold personal data from other professional defence organisations, insurance companies, employers or other third parties regarding your professional practice and career history and that they may release to us such information

(ii) your personal information or data may be transferred to, held and processed within the European Economic Area (EEA), which has a standard of protection of such information or data comparable to the protection under the Singapore Personal Data Protection Act 2012. (iii) if you provide us with an email address or telephone number it may be used by us and third parties to contact you for any of the purposes for which you have agreed to allow us or them to hold or process your personal data.

if you are located elsewhere:

(i) we may hold and process your personal data including sensitive personal data (as defined in the United Kingdom's Data Protection Act 1998 (the Act)) which you provide to us or which we fairly obtain from another source for the purposes of processing your membership renewal, the administration and provision of membership services, providing you with the benefits of membership (including, but not limited to, advice, assistance and indemnity), underwriting, risk assessment, marketing, education, research and audit during your membership and for a reasonable period after your membership terminates or an application for membership renewal is rejected by us or withdrawn by you.

(ii) we may share such data with third parties who may also hold and process the data for the same purposes.

You also agree that:
(i) we may seek information relevant to any purpose for which you have agreed we may hold personal data from other professional defence organisations, insurance companies, employers or other third parties regarding your professional practice and career history and that they may release to us such information.

(ii) if you are outside of the European Economic Area (EEA) your data may be transferred to, held and processed within the EEA.

(iii) if you provide us with an email address or telephone number it may be used by us and third parties to contact you for any of the purposes for which you have agreed to allow us or them to hold or process your personal data.

In order to provide you with the best possible service we would like to inform you of other products and services offered by us that we believe may be of interest to you. If you do not wish to receive such information, either via post or email, please let us know.

How do we protect your information?

We take appropriate measures to ensure that the information you disclose to us is kept secure, accurate and up to date and kept only for so long as is necessary for the purposes for which it is used.

Other information

You should note that if our business (or any part of it) is sold or transferred at any time, the information we hold may form part of the assets transferred although will still only be used in accordance with this policy.
